Your privacy, in plain language.

You can explore this website and listen to the sample call without creating an account. The website does not include analytics trackers, advertising pixels, a patient portal or a live call recorder. If you email us, we receive the information you choose to share.

1. Who this policy covers

This policy describes personal information handled through Swarelic AI’s public website and business enquiries. “Swarelic AI”, “we” and “us” refer to OPEN ROOT TECHNOLOGIES LLP, which operates this website under the Swarelic AI brand. Our published contact is sales@swarelic.com.

Our website introduces AI reception and administrative workflows for healthcare organisations in India. It does not provide medical care. A clinic’s patient records, production call recordings and appointment data are subject to that clinic’s privacy notice and the applicable service and data-processing agreements. See our Healthcare Data Notice for this distinction.

2. Information involved when you visit or contact us

  • Business enquiries: your email address, name, organisation, role, phone number and any message or attachments you voluntarily send. You do not need to supply all of these details to ask a question.
  • Technical requests: delivering a webpage or audio file involves your IP address, requested URL, browser information and request time. Hosting and network providers may keep operational or security logs.
  • Local privacy preference: only if you choose to remember it, your browser stores an essential-only preference, policy version and expiry time. This is stored on your device and is not sent to us by the website.

The site has no patient intake form, payment collection, microphone access or account registration. Playing the demo retrieves a prerecorded audio file; it does not start or record a telephone call.

3. Why information is used

Information in an enquiry is used to respond, understand your practice’s requirements, arrange a demonstration you request, and continue the relevant business conversation. Technical information supports delivery, troubleshooting and protection of the website. Where required, records may also be used to comply with legal obligations, address a complaint or establish and defend legal claims.

Sending a demo enquiry is not consent to unrelated promotional calls or messages. Tell us if you do not want further follow-up. We do not need medical histories, diagnostic reports, prescriptions, Aadhaar numbers or ABHA identifiers to discuss a demonstration.

4. Your choices and consent

You can browse without contacting us and can choose which business details to include in a message. You can request that we stop discretionary follow-up or withdraw consent for an activity that relies on it. Withdrawal does not reverse processing that has already lawfully occurred, and some records may need to be retained for a legal obligation or an unresolved claim.

For any future use that needs a separate notice or consent, that information must be provided before the new collection or use begins. The website’s privacy preference does not authorise patient communications, call recording, or the processing of health information.

5. Service providers and disclosures

A business email passes through email providers, and website requests pass through hosting and network services. These providers may process information to deliver their services. Other disclosures may be necessary to respond to a binding legal request, investigate abuse, protect legal rights, or carry out a business transfer subject to applicable safeguards and notice requirements.

This website contains no advertising exchanges, data-broker integrations or social tracking pixels. Provider names, production subprocessors and contractual safeguards for a proposed clinic deployment should be obtained during vendor review; this website is not a production subprocessor register.

6. Storage locations and retention

The country where a provider processes information depends on the hosting, email or service arrangement. This policy does not promise India-only storage. A healthcare organisation should establish approved processing locations and any cross-border restrictions in its written agreement before sharing patient information.

Business correspondence should be retained only for the enquiry, relevant business relationship, complaint handling and applicable legal requirements. Retention depends on the record and purpose; this notice does not set a universal deletion period for email or provider logs. Ask us about the records relevant to your request.

A remembered browser privacy preference expires after 180 days. It is ignored and removed the next time the site reads it after expiry; you can remove it sooner through Cookie settings or your browser. See the storage inventory.

7. Indian privacy framework

This notice is written for an India-focused website. Applicable requirements can include the Information Technology Act, 2000 and the 2011 rules on sensitive personal data, together with provisions of the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 as they come into force and apply to the activity.

The DPDP framework has a phased commencement. References here to access information, correction, erasure, grievance redressal or nomination do not imply that every statutory provision is already in force. We assess requests under the law applicable at the time. See MeitY’s DPDP resources and the official notice on phased implementation.

8. Access, correction and deletion requests

Email sales@swarelic.com with “Privacy request” in the subject. Explain whether you want information about your data, a correction, deletion, withdrawal of consent or another applicable right. Include the email address used to contact us and enough context to locate the relevant correspondence.

We may need proportionate verification before disclosing or changing information. Do not send Aadhaar, passwords or medical records with an initial request. An authorised representative should explain their authority. If a request concerns a clinic’s patient record, contact that clinic first; its identity checks and record-retention obligations apply.

9. Privacy concerns and grievances

Send privacy concerns to sales@swarelic.com with “Privacy grievance” in the subject so the enquiry can be routed to the responsible person. Describe the issue, relevant dates and the outcome you seek. Request the designated grievance officer’s details if your matter requires a formal grievance process.

Applicable statutory response periods and escalation rights remain available. Nothing in this notice prevents you from approaching a competent authority, court or, where the relevant provisions and procedure apply, the Data Protection Board of India. Do not use this mailbox for urgent patient care.

10. Children and caregiver information

This business website is intended for adults representing healthcare organisations and is not directed at children under 18. Please do not send a child’s health information. If you believe such information was supplied by mistake, contact us without repeating the sensitive details. A clinic handling paediatric appointments must establish the appropriate parent, guardian or other lawful authority in its own patient workflow.

11. Security and external links

Do not include sensitive patient data in a public website enquiry. No website or email channel can guarantee absolute security. If a secure transfer is needed for an agreed purpose, first arrange an appropriate channel with the receiving team. External links and your email application operate under their own privacy terms. See our Security Overview.

12. Changes to this notice

The date at the top identifies the latest revision. Material changes to collection, purposes, providers or storage technologies require this notice to be reviewed, and any additional notice or consent required by law must be provided. Contact us if you need clarification about which notice applied to a previous enquiry.
